JOB SUMMARY:

The Corporate Office Receptionist provides excellent customer service to all visitors and callers in accordance with Mason policies.  Additionally, the Receptionist provides administrative support as requested to the CEO, Executive Team, and other teams as directed.

 

DUTIES AND RESPONBILITIES:

The below listing of essential functions is not an inclusive listing of all duties that may be requested to be performed by supervisor or manager.

  • Maintains corporate switchboard, answers, and routes corporate phone calls to the appropriate person.
  • Greets company visitors including applicants, vendors, etc. Notifies the appropriate person upon visitor arrival. Issues visitor badges in accordance with Mason policy.
  • Maintains conference room schedules and various call lists for use throughout the company.
  • Performs administrative functions as assigned, including coordinating meetings and events.
  • Orders office supplies for the corporate office and other departments as requested.
  • Orders meals and sets up meeting spaces as requested.
  • Maintains visitor ID badge program; issues visitor badges and temporary associate badges; maintains required documentation.
  • Process correspondence and emails in accordance with company guidelines.
  • Provides administrative and clerical support to the CEO, Executive Leadership Team, and other Mason teams as directed.
  • Provides support and coordination to Mason committees as requested.
  • Prepares meeting materials, presentations, and reports as directed.

 

KNOWLEDGE, SKILLS, ABILITIES:

  • Proficient Computer and Data Entry Skills
  • Proficient with Microsoft Office Suite
  • Strong written and verbal communication skills.
  • Above average professional interpersonal skills, for both customers and co-workers.
  • Effective problem solver with the ability to remain calm in stressful situations.
  • Detail oriented.
  • Proficient at multi-tasking.
  • Ability to maintain confidentiality.

 

EDUCATION and/or EXPERIENCE:

  • High School Diploma or equivalent is required.
  • Post-secondary education desired with an emphasis in administration.
  • A minimum of one year experience in customer service and/or administrative support is preferred.

 

PHYSICAL REQUIREMENTS:

Work is generally sedentary, in an office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and

fax machines.  May require physical effort associated with using the computer to access information, or occasional standing, walking, lifting needed to carry out everyday activities.
