SUMMARY 

 

Provides executive level administrative support and assistance with various finance and accounting assignments and projects. Prepares correspondence, expense reports, financial reports, analysis and presentations, schedules meetings, and handles event planning logistics. Assists with sensitive and complex tasks while maintaining confidentiality. Regularly interacts with executives and staff in a highly professional manner. 

 

 

ESSENTIAL DUTIES AND RESPONSIBILITIES 

•    Performs daily responsibilities in a positive and professional manner with a high attention to detail, accuracy, and clear communication in all interactions. 

 

•    Maintains a positive attitude and commitment to continuous development. 

 

•    Provides general administrative support to the Chief Financial Officer (CFO); including mailing documents, managing contract signings, fingerprinting, etc. 

 

•    Coordinates with other executive assistants to facilitate executive communication and schedule coordination.  

 

•    Maintains CFO appointment schedule by planning and scheduling meetings, conferences, teleconferences and travel. 

 

•    Proactively handles a complex business calendar, anticipates executive's scheduling needs and upcoming deadlines, resolves scheduling conflicts and adapts to daily situations. 

 

•    Create and submit expense reports for multiple leaders within the CFO's organization. 

 

•    Handles correspondence and documents of confidential nature and where appropriate respond to, create, compose and/or edit written materials and/or e-mail responses.  

 

•    Assists with project management of various finance and accounting projects.  

 

•    Coordinates and manages logistics for events and meetings; including researching and pricing venues, booking conference rooms, hotel rooms, travel logistics and communication, food, etc. 

 

•    Assists with developing and updating presentation materials. 

 

•    Reviews reports and documents for accuracy and identifies inconsistencies or errors to be corrected. 

 

•    Assists with preparing financial reports; including collecting, analyzing and summarizing data and trends.    

 

•    Assists with ad hoc report analysis as needed. 

 

•    Compiles reports and handles report distribution to other leaders and executives. 

 

•    Assembles spreadsheets and illustrates financial data with charts and graphs.  

 

•    Supports the annual budget process. 

 

•    Acts as back up to other Executive Assistants as needed. 

 

•    Perform all duties in accordance with all company policies and procedures, and all federal, state and local laws, wherein the Company operates. 

 

•    Performs other duties as assigned 

 

QUALIFICATIONS 

EDUCATION / EXPERIENCE 

 

Bachelor's Degree, in Accounting, Finance, Business, Mathematics or equivalent combination of education and experience 

 

Two (2) or more years, related work experience 

 

SKILLS 

Strong knowledge of excel formulas and functions (vlookup, pivot, conditional formatting, charts and graphs, etc.) 

Knowledge of accounting principles and practices. 

Proficient computer skills (Microsoft/Word, Excel and PowerPoint software preferred). 

Good problem solving and time management skills 

Good planning, organizational and prioritization skills 

High attention to detail and accuracy with strong proofreading skills 

Ability to receive and implement feedback to enhance own development and improve performance. 

Ability to work within a team and to foster teamwork 

Ability to interact diplomatically with employees at all levels within the company 

Ability to communicate effectively, both verbally and in writing, in a professional manner 

Ability to maintain confidentiality of sensitive information 

Ability to take initiative to be both proactive and flexible in a dynamic environment
