SEO’s purpose is to provide holistic student-centered programs and services that
enhance student life and create lasting memories through community engagement,
connection building, and creative exploration.

SUMMARY:

The Associated Students, Inc. Student Engagement and Outreach Department enhances the collegiate experience of Sacramento State students by increasing their awareness of ASI resources and providing them with meaningful engagement and leadership opportunities. Under the direct supervision of the Marketing and Outreach Manager of Student Engagement and Outreach (SEO), the Event and Outreach Coordinator is responsible for oversight of the ASI events and outreach portfolio. The Event and Outreach Coordinator will provide leadership for ASI campus events by supervising student event coordinators and planning and executing programs that engage students in campus life programs and services. Occasional weekend and after-hours availability is required to support ASI/campus-wide events.

 

ESSENTIAL DUTIES & RESPONSIBILITIES:

  • Oversee the recruitment, selection, training, supervision, and evaluation of the A-Team student Event Coordinators.
  • Advise ASI student staff on all facets of event and program management including contracts, room reservations, purchasing, budgets, promotions, outreach, and general campus policies, rules, and regulations.
  • Serve as the lead event coordinator for various ASI and SEO events including occasional weekend and evening events.
  • Planning major ASI activities and special events that promote ASI’s visibility and positive public image.
  • Ensure all facets of event and program management are being followed including contracts, room reservations, purchasing, budget management, promotions, outreach, and general campus policies, rules, and regulations. Seek legal counsel when necessary.
  • Provide technical support for KSSU station staff and volunteers during campus events.
  • Collaborate with the Marketing Coordinator to promote ASI events and support outreach efforts for SEO.
  • Collect event planning and event evaluation reports detailing attendance, problems, suggestions, etc., and compile an event summary/assessment at the end of each semester for SEO.
  • Assist with the administrative component of purchasing, check requests, and contract negotiation.
  • Manage time and attendance of direct reports, inclusive of bi-weekly payroll procedures, timesheet correction, approvals, and submissions.
  • Assist with the development, oversight, and maintenance of the HEAT event volunteer program.
  • Participate in staff development programs for Student Engagement and Outreach to enhance personal and professional development.
  • Serve as an active member of the department, attend meetings, and contribute to departmental goals and objectives.

MINIMUM QUALIFICATIONS

  • Bachelor’s Degree
  • Knowledge of windows-based personal computers – Microsoft Word, Excel, Outlook
  • Ability to coach and mentor student staff.
  • Previous event planning experience in an educational or non-profit organization setting.
  • Strong organizational and project management skills.
  • Attention to detail.
  • After-hours and weekend availability for campus events.
  • Ability to lift, move and/or carry up to 50 pounds
  • A valid driver’s license is required for this position

 

 

PREFERRED QUALIFICATIONS

  • Background in event planning, implementation, and evaluation
  • Budget management skills
  • Strong organization, communication, and leadership skills
  • Ability to handle multiple projects at one time
  • 2 years of supervisory or team lead experience
  • Previous leadership experience
