OFFICE ADMINISTRATOR

CHAI has an immediate opening for an Office Administrator to support our committed team working to fulfill the mission of strengthening the community in Northwest Baltimore. As the Office Administrator, you are often the first person our community interacts with, whether in person or over the phone. This role requires someone who is consistently reliable, has strong organizational skills, and is committed to providing excellent customer service. You should be comfortable with office technology and have a friendly, professional manner. We’re looking for someone who is self-motivated but also enjoys working as part of a team. Building effective working relationships is a key part of this position. You will report to the Executive Office Manager.

Meeting Preparation/Coordination: As the Office Administrator, your role is crucial in ensuring the smooth operation of our board and committee meetings. You will be responsible for setting up video conferencing, preparing materials and folders in advance of meetings, and coordinating catering when required. You will also monitor board members’ participation and maintain the board portal. Occasionally, you may be asked to take minutes during board and committee meetings.

Front Desk Responsibilities: In this role, you will be the primary point of contact for our guests, clients, and staff, ensuring their needs are met with efficiency and courtesy. Your duties include welcoming everyone to the office and answering phone calls and emails promptly and professionally. You will maintain a tidy and functional office environment, including the front desk area, lobby, break stations, conference rooms and restrooms. You will handle office equipment such as copiers, printers, fax machines, and postage machines. You will help maintain the organization's SharePoint site by properly naming files and organizing folders, as well as scanning documents for digital filing. You will also be responsible for updating the lobby screen with CHAI announcements and photos. Occasionally, you will support the HR department with various projects.

Qualifications:

  • High school diploma or equivalent (associate degree preferred but not required)
  • 3+ years of front desk experience preferred
  • Proficiency in Microsoft Word, Excel, Outlook, PowerPoint, Adobe PDF, and SharePoint
  • Experience with video conferencing platforms (Zoom) and general technology skills
  • Strong customer service skills
  • Ability to multitask and prioritize effectively
  • Must be able to handle confidential matters

 

Compensation & Benefits

$48,000 – 53,000 commensurate with experience

 

Working Conditions & Physical Requirements:

  • Able to be present in the office, as appropriate.
  • Able to move freely about the office.
  • Able to operate a computer and other office equipment, including telephone, copy machine, fax, and printer.
  • Able to move supplies or equipment weighing up to 20 pounds, as needed.
