The Home Office Coordinator is responsible for managing and maintaining the Home Office space including all conference rooms, copier/supply rooms, and the kitchen. In addition, the HO coordinator will assist in various projects that arise throughout the year and provide assistance to the Executive Admin Team as needed.

Responsibilities

Operations

  • Process all deliveries to BSL Home Office
  • Support with process all FedEx packages sent from the Home Office
  • Office supply ordering through WB Mason
  • Coordinate decorating of HO at Holiday time with the CEO’s assistant
  • Complete AMEX report on time with appropriate back-up
  • Oversee the upkeep, cleanliness and organization of the HO including, Mail room, Bathrooms and supplies (not overseen by property management), Printer stations, Country Kitchen , and Conference Rooms

Concierge

  • Staff’s office from 8:00 AM to 4:30 PM (flexible due to meeting schedule)
  • Responsible for ordering and restocking all supplies for the overall office and the kitchen
  • Responsible for cleaning the kitchen including a weekly cleaning of the refrigerator, microwave, small appliances, and coffee-maker; as well as load and unload dishwasher every evening
  • Responsible for room set-up, take-down, clean-up for meetings, and coordinate and order catering.
  • Frequently check furniture to make sure it is clean and in good condition
  • Maintain water cooler to ensure it is always working properly
  • Maintain office plants.
  • Other duties as assigned

Associate Related

  • Member of the Associate Council – assist in event planning for associates
  • Member of the HO Safety Committee and assists in the preparation and execution of fire drills/office safety
  • Work with HR on Length Of Service awards to obtain quarterly recipients names, process congratulations cards for TG’s signature, send email to recipients following the meeting with catalog to select LOS award, collect all orders from associates and submit to Stran for processing. Liaison with Stran regarding LOS gifts (Catalogs, item selections, etc.).
  • Other associated related items as assigned

Projects

  • Assist with the annual 1099 processes
  • Other projects as assigned

Requirements

  • Knowledge of Microsoft Office (Word, PowerPoint, Excel, Outlook and Access) as well as familiarity with the Internet and its search tools.
  • Strong organizational, oral and written communication skills
  • Knowledge of office equipment and ability to trouble shoot problems.
  • Maintain absolute confidentiality
  • Attention to detail
