We are currently looking for an Executive Assistant/ Legal Coordinator for our Houston, TX office.

 

POSITION DESCRIPTION:

 

JOB SUMMARY:

This position provides support to the General Counsel and general administrative support to the Legal department.  In this role you will exercise a high degree of professionalism and integrity inherent to supporting executive level positions, work closely with all levels within the company, and possess strong business knowledge as it relates to departmental interactions both internally and externally. 

Responsibilities include, but are not limited to:

  • Assist in the preparation of departmental budget.  Once the budget is approved, you will be responsible for budget maintenance and reporting to the General Counsel on budget status.  This includes invoice processing, reconciling allocation of charges with accounting, and preparing/processing expense reports.
  • Manage and organize the General Counsel’s calendar.  This includes scheduling appointments, making travel arrangements and accommodations, and
  • Update and maintain departmental intranet site.
  • Provide general administrative support to the Legal and Regulatory groups.
  • Prepare, proofread, and edit documents related to department business.

 

REQUIRED SKILLS, KNOWLEDGE, AND EXPERIENCE:

 

  • 10 years’ experience supporting executive leadership.
  • Working knowledge of accounting, budgeting, and coding.
  • Proficiency in MS Office - specifically Excel.
  • Strong written/verbal communication and interpersonal skills. 
  • Ability to be organized, creative, informative and able to multi-task to complete tasks timely.
  • High level of integrity, ethics, and confidentiality.
  • Excellent proofreading skills and attention to details.
  • Ability to work independently with minimal supervision.

 

PREFERRED SKILLS, KNOWLEDGE, AND EXPERIENCE:

 

  • Corporate Legal Department/law firm experience

 

REQUIRED EDUCATION:

 

  • High School Diploma or equivalent

 

PREFERRED  EDUCATION:

 

  • Associate’s degree with coursework in Professional Administration and/or Accounting
