The Material Admin will be responsible for coordinating order fulfilment for customer orders with various departments to ensure delivery to customer within promised lead time.  Responsibilities of a Material Admin include, but are not limited to, Bridge Clerk, Parts Scheduler, Order Expeditor, Shipping Processor and Freight Coordinator.

 

Responsibilities:

 

  • Provide general warehouse administrative support
  • Coordinate the processing of all shipping orders.
  • Distribution of picking labels and operational reports.
  • Manage the release of orders

 

Bridges:

  • Allocate all picking assignments
  • Evaluates past and future sales orders and make assessments based on product availability
  • Ensure the timely receipt of all incoming merchandise and company supplies
  • Track and monitor any delays in merchandise
  • Monitor work order flow and ensure orders are filled accurately
  • Report and coordinate with inventory, production and purchasing on any discrepancies. (Out of stock, location issues)
  • Enter tickets for Bill of Material issues
  • Take initiative, pick, process work orders and communicate
  • Create and perform cycle counts-Run replenishment reports for Production
  • Research orders and respond to customer service

 

Scheduler:

  • Utilize MRP system to pull reports, print work orders
  • Distribute orders to instruction room and picking team.
  • Ensure that orders are filled accurately by due dates
  • Promptly resolve all material or location issues communicated by picking team

 

Order Expeditor:

  • Monitor sales order flows (product allocation and the release of sales orders) to make sure orders are moving through to the warehouses correctly and in a timely manner.
  • Review product shortage concerns and allocate product to meet specific customer needs.
  • Expedite past due customer orders through various internal departments and provide timely updates to Customer Service and other departments with new information.
  • Report and coordinate with planning, inventory, and production on any discrepancies.
  • Modify or reallocate sales order allocations based on business needs.

 

Shipping Processor:

  • Utilize JDE to confirm shipping methods
  • Ensure that all orders on the conveyer are processed
  • Generate BOL’s using ADSI
  • Utilize ADSI to create shipping labels (UPS and Fed Ex)  
  • Call truck carriers to coordinate shipment schedule 
  • Interact with truck drivers to facilitate correct distribution and sign off on paperwork along with removal of trailers from the correct docks.
  • Complete Domestic and International forms (invoices, tariff codes and carrier bill of lading/air bills)

 

 

Freight Coordinator:

  • Process 50 to 60 shipment sale orders daily using ADSI (our shipping processing software) which will generate (BOL)
  • Manually generate Bill of Ladings and commercial invoices needed
  • Pull purchase orders from Webdocs for special instructions on shipment
  • Correspond with Customer Service team to ensure that all documents regarding truck shipments are processed
  • Track delivery progress of customer freight
  • Negotiate freight cost with our carriers to save money.
  • Assist Packers with their requests on certain orders that have special instructions.

Requirements:

 

  • HS diploma or equivalent. 
  • A minimum of 2 years of full-time related experience working in a distribution environment, specifically in inventory, planning, scheduling, or shipping.  Any equivalent combination of education, experience, and training which provides the required knowledge, skills, and abilities will be accepted.
  • Must be able to read, write and speak English. 
  • Must exhibit proficient computer skills, including word processing, spreadsheets, and outlook.
  • Ability to work in a team atmosphere, promoting positive work relationships with both internal and external guests.
  • Strong knowledge of the principles, practices, and objectives of warehouse movement and time management.
  • Working knowledge of RF scanners, stock movement and cycle counting.
  • Ability to follow directions and communicate in English verbally and in writing and to read and understand materials printed in English.
  • Basic mathematical skills
  • Previous production, order entry, shipping or MRP experience a plus.
  • Ability to multitask, work independently and problem solve.
  • JDE experience a plus.

 

Hours:

 

Monday through Friday, full-time with work hours designated by the Supervisor.  Team Members are required to work overtime when requested.

 

Compensation: $24 - $28/hour
