PAY RANGE: $74,090.00 - $77,000.00 ANNUALLY

 

GENERAL DESCRIPTION:

The Governance Policy Specialist is responsible for supporting ongoing activities related to the administration and maintenance of the Golden 1 Credit Union Policy Management Program. This position will be responsible for ensuring that organizational policies follow internal policy management processes and standards, remain current, and are organized and readily accessible to internal employees through the use, and maintenance, of an electronic policy management system.

TASKS, DUTIES, FUNCTIONS:

  1. Acts as the administrator of the policy management system, including (but not limited to) managing the vendor relationship, maintaining user permissions and access rights, and trouble shooting and reporting of issues.
  2. Assists in the development, communication, implementation, and ongoing maintenance of Golden 1’s Policy Management Program, including supporting policy framework, processes, and standards.
  3. Acts as the central point of contact for Golden 1’s Policy Management Program, including Board and Corporate policies.
  4. Actively supports ongoing policy and procedure development, approval, communication, and maintenance processes. Ensures policies are reviewed and updated as needed prior to their review due date.
  5. Coordinates with policy owners and key stakeholders on the review and update of existing policies as well as on the process of developing new policies as needed. Manages the submission and approval of new/updated policies through the appropriate governance process.
  6. Reviews drafts of Board and Corporate policies and makes recommendations for improvements to ensure alignment with internal policy framework and standards.
  7. Works with department leadership to ensure procedures are in place to foster compliance with Golden 1 policies as assigned.
  8. Organizes and documents work electronically through the use of a tracking log, electronic filing system, and electronic policy management database. Publishes approved polices to an electronic policy management database. Maintains an archive of all organizational policies in accordance with state and federal record retention requirements.
  9. Serves as subject matter expert for implementation and maintenance of a centralized policy management database, including establishing and maintaining oversight of user permissions and access rights.
  10. Handles inquiries and provides ongoing continuing education to stakeholders on policy management processes, including drafting, reviewing, and revising policies, and the policy management system of record.
  11. Proactively seeks to identify and implement opportunities for improvement in policy governance controls, processes, and systems. Assists with efforts to rationalize and simplify policies, where appropriate.
  12. Researches, compiles, processes, and coordinates policy data (e.g., data entry, report generation, metrics, and collection). Prepares policy management reports and presentations for senior leadership.
  13. Follows internal policies, standard operating procedures, and state and federal regulatory requirements related to policy management and retention. Maintains understanding of industry policy management best practices.
  14. Maintains a thorough understanding of state and federal laws and regulations related to credit union compliance including bank secrecy and anti-money laundering laws appropriate to the position.
  15. Performs other tasks as assigned.

 

PHYSICAL SKILLS, ABILITIES, AND EXERTION UTILIZED IN THE PERFORMANCE OF THESE TASK:

  1. Strong oral, written, and presentation skills required.
  2. Strong interpersonal (people) skills are required. Must have the ability to interact with various staff and levels of management, including senior leadership, while building collaborative cross organization relationships.
  3. Must possess sufficient manual dexterity to skillfully operate an on-line computer terminal and other standard office equipment, such as financial calculators, personal computer, facsimile machine, and telephone.

  1. INTERNAL: All levels of staff, management, and senior leadership.
  2. EXTERNAL: Government and regulatory agencies and vendors.

QUALIFICATIONS:

  1. EDUCATION: Bachelor’s degree in related field required. Additional work experience may be considered.
  2. EXPERIENCE:
  • Minimum two (2) years of relevant experience in a financial institution.
  • Minimum two (2) years’ experience with writing and managing updates to policies, standards, guidelines, and Standard Operating Procedures or experience with policy governance or ongoing policy management processes.
  • Experience in corporate governance, risk, or compliance disciplines desirable.

 

  1. KNOWLEDGE / SKILLS:
  • Ability to write clearly, concisely, and accurately to convey information to a wide variety of audiences, including assessing current documentation and making recommendations for strategic alignment and clarity.
  • Results-oriented with the demonstrated ability to effectively prioritize and successfully manage multiple projects at once.
  • Experience with document management and collaboration tools (e.g., SharePoint) and techniques is beneficial.
  • High level of quality and attention to detail.
  • Strong organizational skills and ability to work independently.
  • Strong communication, writing and presentation skills.
  • Knowledge of risk management policies, methods, and governance practices.
  • Proficiency with Microsoft Suite applications such as Word, Excel, PowerPoint, and SharePoint.
  • Proficient in English grammar, punctuation, and spelling; ability to draft correspondence with minimal effort.
  • Demonstrated professionalism, discretion, and confidentiality in all interactions and communications.

 

PHYSICAL REQUIREMENTS:

  1. Prolonged sitting throughout the workday with occasional mobility required.
  2. Corrected vision within the normal range.
  3. Hearing within normal range. A device to enhance hearing will be provided if needed.
  4. Ability to lift 15 lbs. as may be required.
  5. Occasional movements throughout the department daily to interact with staff, accomplish tasks,

etc.
