Executive Administrator
 

JOB SUMMARY:

Performs administrative duties for the Chief Executive Office and Vice President, Human Resources. Supports the President, CFO, and Executives as needed.  The ability to work in a demanding environment with a high level of confidentiality.

 

ESSENTIAL FUNCTIONS:

  1. Provide high-level administrative support and assistance.
  2. Manage, communicate, and prepare incoming and outgoing electronic communications, letters and calls including transcribing dictation via Dictaphone.
  3. Schedule appointments and maintain the CEO’s daily calendar.
  4. Organize and prioritize multiple tasks and complete them under time constraints.
  5. Responsible for reserving travel arrangements and making reservations.
  6. Produce confidential agreements, lease contracts, and purchase agreements.
  7. Assist with meeting, event planning and training.
  8. Reconcile corporate credit card statement.
  9. Manage and execute the Regional Employee of the Quarter awards.
  10. Manage philanthropic quarterly reporting.
  11. Serve as the primary point of contact for the building security team, coordinating security protocols and measures.
  12. Coordinate holiday distributions include Thanksgiving turkey certificates, Christmas cards/gifts, and Veterans Day recognition/pins.
  13. Produce reports, presentations, and briefs.
  14. Handle confidential information with utmost discretion and professionalism.
  15. Assist with daily correspondence and maintaining an efficient documentation & filing system.
  16. Assist with other projects as needed including errands.

 

ACCOUNTABILITY:

Reports directly to the CEO and Vice President, Human Resources and supports executives as needed.

 

JOB QUALIFICATIONS:

Well organized person with excellent administrative and interpersonal skills.  Ability to handle a large number of administrative duties and prioritize those duties and at the same time being detailed oriented. The ability to accurately complete assignments within the prescribed time deadlines.

 

               Education and Experience:

  1. Education equivalent to completion of the 12th grade.
  2. A minimum of five (5) years’ experience as an executive assistant to a C level executive.

 

Knowledge, Skills, and Abilities:

  1. Excellent English language usage, spelling, and arithmetic.
  2. High-level verbal and written communication skills.
  3. Strong decision-making ability.
  4. Ability to prioritize and attention to details as well as being flexibility and adaptable.
  5. Extensive computer knowledge and skills including MS Office, Word, Excel, Outlook, PowerPoint, database management system (Eclipse), mail merge, and the ability/aptitude to learn additional software as needed.
  6. Knowledge of office methods, practices, and procedures.
  7. Ability to work effectively with minimal or no direction.
  8. Exemplary planning and time management and problem-solving skills as well as follow through.
  9. Ability to maintain cooperative working relationships as part of a team effort with those contacted in the performance of duties, to include all executives, other employees and customers.
  10. Good attendance and punctuality is a must in this position.
