Summary:

 

  • Reviewing and processing invoices for accuracy and completeness.
  • Ensuring timely and accurate payments to vendors, which may involve checks, electronic transfers, or other payment methods.
  • Maintaining organized records of all transactions, invoices, and payments.
  • Communicating with facilities to resolve issues, address inquiries and assist employees with any questions.
  • Communicating with vendors and suppliers to resolve issues, address inquiries, and negotiate payment terms.
  • Monitoring and managing expenses, helping to control costs, and ensure budget compliance.
  • Reconciling accounts and resolving discrepancies between invoices and payments.
  • Preparing financial reports related to accounts payable for management.
  • Ensuring compliance with company policies, industry regulations, and tax requirements.
  • Properly e-filing and storing financial documents and record
  • Proficiency in accounting software including PointClickCare, Procurement Partners, DSSI, Sage Intacct. and tools for efficient invoice processing and data management.
  • Identifying and resolving any issues related to accounts payable processes.
  • Suggesting and implementing process improvements to enhance efficiency and accuracy.

 

Required Skills and Qualifications:

  • Bachelor’s degree in a related field.
  • Experience in accounts payable or accounts receivable.
  • Understanding of basic principles of finance, accounting, and bookkeeping.
  • Experience working with a high volume of vendor invoices.
  • Ability to work in a fast-paced environment with minimal supervision.
  • Must be organized with high attention to detail.
  • Must display time management skills.
  • Ability to prioritize and manage multiple tasks, changing priorities as necessary.
  • Ability to be self-motivated, proactive and an effective team player.
  • Strong mathematical skills
  • Strong Excel and MS Office skills required.
  • Effective oral and written communication skills are required for this position.
  • Ability to interact with personnel at all levels of the organization.
