Merchants Bank, Winona, has an opening for a part-time Item Processor (generally 20-25 hours/week).  Duties include verifying and balancing daily bank transactions and reports, completing all types of electronic file processing, working with cash letters, completing adjustment notices, and numerous nightly reports and duties.

 

Must be dependable, organized, detailed, a quick learner, and be able to work under pressure.  Starting times are 2pm on Mon and Fri, 3pm Tues, Wed, Thurs. Ending time will be between 6:30-8pm based on employee rotation.

Job Summary:

This job position follows a well-established system to process all types of incoming customer deposits and other work for the bank.  This position requires the use of good judgment, flexibility, speed, accuracy, and initiative while performing daily job responsibilities.  Accuracy and efficiency are critical while updating account numbers and other important customer account information, along with performing all other Item Processing duties.  This position is responsible for preforming all additional end of night processes for Item Processing with no supervision since some of these job duties are performed after regular banking hours.  Flexibility and accuracy are critical, to ensure proper posting of all daily transactions and that some nights may be longer than others.  This position does not have a set end time.  This position requires staying until all work is completed and all the End of Day processes have been performed for Item Processing.   In some cases, this position must contact a software vendor or system technician to troubleshoot an issue.

 

Become familiar with both the Branch Capture software and hardware to help troubleshoot problems the affiliate locations may be having.  Work with vendors as needed to report, address, and resolve any system issues. 

 

This individual will be trained to perform the daily electronic Merchant Capture, Fastenal, and Mobile duties, balance the transactions, and make adjustments accordingly.

 

 

Essential Duties:

  • Operate P.C. and use job specific programs to balance all daily incoming work and update all missing information on all types of scanned images of items. Responsible for image quality.
  • Research and adjust any balancing errors; create an adjustment notice to explain the offage to the customer or internal department using clear and precise verbiage.  Notify tellers of necessary adjustments pertaining to them.
  • Ability to multi-task between programs and processes efficiently and work in a fast-paced environment.
  • This individual will be expected to obtain in depth knowledge of the Branch Capture processing software system and hardware to assist with any issues from all Teller locations as needed.  In some cases, you must contact and work with a software vendor.
  • Responsible for processing daily incoming deposit files for Merchant Capture customer’s, Fastenal, and Mobile deposits.  Includes the balancing and making any adjustment notices or edits accordingly.
  • This individual will be trained to perform the daily electronic cash letters processing that includes in depth knowledge of the electronic cash letter processes with a high level of attention to detail with minimal or no supervision.
  • This position will be responsible for the scanning of incoming work as well as the storage retention for them. 
  • Daily preventative cleaning/maintenance for scanner.
  • This individual will be responsible for completing all critical end-of-night duties associated with Branch Capture and the daily processes for Item Processing. 
  • Extract of all the captured daily transactions from the Item Processing system and perform balancing process with ability to follow explicit instructions with a high level of detail with no supervision.
  • Send email of balancing totals to Core banking application.
  • Follow predetermined nightly check list to preform additional End of day processes for Item Processing.
  • NOTE – end time is not determined until ALL work is done – can be up to 8pm or later.
  • As issues arise you may need to work with vendors or internal co-workers as needed to report, address, and resolve any system issues.
  • Strong telephone skills and the ability to communicate a problem properly are also required.
  • Assist other departments when needed and available.
  • Assist as needed for special projects, including documentation of procedures.
  • Regular and dependable attendance and flexibility is an essential function of the job.
  • Learn miscellaneous duties connected with the Item Processing Department, such as return items, foreign/Canadian items, folder/inserter machine operation, and any other tasks as assigned.
  • Employee will be expected to contribute to a positive working environment through words and actions.
  • Employee will be expected to be able to work as either part of a team or independently based on the day-to-day needs.
  • Employee will be expected to greet internal and external customers in a friendly and outgoing manner.
  • Employee will be expected to take responsibility to insure internal and external customers receive outstanding service.
  • Employee may be asked to perform other duties as required by business needs.
  • Employee will be expected to complete compliance and product knowledge assignments in a timely manner.

 

Working Conditions:

Inside working environment; no environmental hazards.  Temperature comfortable/cool.  Noise level can be above average at times, compared to Bank’s normal level in other departments.

 

Physical Demands:

Requires sitting at a P.C. or desk approximately 80% of the time.  Will require repetitive motion when operating P.C.  May require lifting approximately 30 lbs (trays of activity).  Requires good eye/finger dexterity.  Ability to speak with clarity on telephone.  Ability to multi-task and work at a fast pace as needed.

 

Mental Demands/Education/Skills and Abilities Required:

Ability to focus quickly and above average finger dexterity.  High school degree.  This position requires a well-organized individual with the ability to follow explicit instructions. It also requires accuracy and efficiency when preforming assigned tasks.  Ability to multi-task and work at a fast pace as needed. 

Strong telephone skills and the ability to communicate a problem properly are also required. Due to minimal or no supervision, the individual for this position needs to be dependable, flexible, and trustworthy.

Basic knowledge of Microsoft Excel and Word.

 

Relationships:

Will have limited person-to-person contact with customers; however, will have telephone contact with customers and must have ability to communicate clearly and effectively.  Will have extensive contact with internal customers, primarily with all Tellers and the customer service representative and must project professionalism.
