Position Summary:

The Assistant Front Office Manager supports the Director of Front Office in overseeing the daily operations of the front desk and ensuring an exceptional guest experience. This role involves managing front desk staff, handling guest inquiries and complaints, and maintaining a high level of service standards.

 

 

Key Responsibilities:

Staff Management

   - Assist in recruiting, training, and supervising front office staff.

   - Schedule and coordinate shifts to ensure adequate coverage.

   - Conduct performance evaluations and provide constructive feedback.

   - Foster a positive and collaborative work environment.

 

Guest Services

   - Ensure a warm and welcoming atmosphere for all guests.

   - Address and resolve guest complaints and concerns promptly and professionally.

   - Oversee check-in and check-out procedures to ensure efficiency and accuracy.

   - Monitor guest feedback and implement improvements.

 

Operational Duties

   - Assist in managing the daily operations of the front desk, including reservations and room assignments.

   - Ensure compliance with hotel policies, procedures, and quality standards.

   - Oversee cash handling, billing, and accounting functions at the front desk.

   - Collaborate with other departments to ensure seamless service delivery.

 

Administrative Tasks

   - Prepare reports on occupancy, revenue, and other key performance indicators.

   - Maintain accurate records of guest information and transactions.

   - Assist in budgeting and financial planning for the front office.

 

Safety and Security

   - Ensure adherence to safety and security protocols.

   - Handle emergency situations and coordinate with appropriate personnel.

 

 Qualifications:

  • Bachelor's degree in Hospitality Management, Business Administration, or a related field preferred.
  • Minimum of 2-3 years of experience in front office operations, preferably in a supervisory role.
  • Strong leadership and team management skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in hotel management software (e.g., Opera, Fosse, FSPMS) and MS Office.
  • Ability to handle stressful situations with professionalism and calmness.
  • Attention to detail and strong organizational skills.
  • Flexibility to work various shifts, including nights, weekends, and holidays.

  

Physical Requirements:

  • This position requires standing for extended periods and the ability to work in a fast-paced environment.
  • May be required to lift and carry items up to 20 pounds.
