The Hyatt Place located Flushing, NY, is seeking an experienced sales & administrative professional to promote, market, coordinate guest rooms and meeting space for this 168 room, modern, luxury hotel. 

 

Sales Coordinator / Administrative Assistant – Job Description


 

Candidate Profile

  • Knowledge of Meyer Jabara Hotels & Journey culture
  • Knowledge of guest rooms and hotel operations
  • Strong communication skills (verbal, listening, writing)
  • Bi-lingual: Mandarin & English is a plus
  • Effective decision making skills
  • Strong organization skills
  • Knowledge of group, catering and transient customer segments
  • Strong customer and associate relation skills
  • Ability to develop and maintain relationships e.g., associates, guests, vendors
  • Strong presentation and platform skills
  • Proficient in standard and office software applications and hotel property management systems: OPERA, RESERVE, Envision
  • Familiar with local market conditions and competition
  • Familiar with hotel sales forecasting
  • Expert knowledge of Excel
  • Excellent financial reporting skills and presentation skills
  • Ability to participate in and facilitate group meetings
  • Ability to meet tight deadlines and juggle multiple projects
  • Ability to work independently and as a team
  • Experience in hospitality industry is a plus

 

Administrative Responsibilities;

  • Participates in formulation of monthly Executive Summary reports
  • Handles V.I.P. reservations
  • Responsible for onboarding new hires: drug tests, payroll system registration, check ID, ensure forms are completed accurately
  • Payroll back up for controller
  • Daily cash reconciliation / cash deposits
  • Airline crew invoice reconciliation

 

Sales Responsibilities:

  • Build all groups in OPERA
  • Block room types
  • Set up PM accounts
  • Set up billing
  • Send group reservation links to contact person
  • Charge group credit cards as instructed by contract
  • Charge group contract deposits (as needed)
  • Follow- up with contact person as deadline approaches
  • Coordinate reservation changes/rooming list
  • Create group resume
  • Build all groups in Envision
  • Actualize group after they leave
  • Main contact person for FIT/Wholesale reservations
  • Set up alerts
  • Set up routings
  • Use of Extranet for GTA and Tourico
  • Build contracted airlines monthly room blocks
  • Update room block as manifest changes
  • Write welcome cards for VIP guests
  • Attend and participate in weekly sales meetings
  • Site inspections for guest rooms and meeting rooms

 

HOURS:

  • 3 days (24 hours) in sales and 2 days (16 hours)
  • Days of week: Monday - Friday
  • Approximately 9:00 a.m. to 5:00 p.m.

Pay rate: $20/hr - $23/hr
