Administrative Assistant – Sheriff’s Office

Professional Standards Division

Full-time, Hourly

Hourly Range: $19.49 – $29.24

 

Job Summary: The Administrative Assistant provides day-to-day operational support to management staff members of Milwaukee County Sheriff’s Office (MCSO), other law enforcement agencies, and the public with a regard to highly sensitive and confidential issues & documentation.  The position requires the ability to use multiple law enforcement systems, format and proofread correspondence and legal documents, create entries, monitor deadlines, and coordinate files. 

 

Job Responsibilities

  • Review documents and create electronic entries in Access databases used to track, monitor and maintain Professional Standards Division (PSD) case files.
  • Prepare Orders & other formal documents for Personnel Review Board (PRB) hearings, disciplinary hearings and actions.  Be knowledgeable of administrative policies and procedures.
  • Log & track PSD investigation files, citizen complaints, open records requests, notice of claims and legal files.  Create and prepare written documents and reports, manage a high level of data w/accuracy, able to multi task and prioritze multiple assignments/projects.
  • Create & maintain files for MCSO hired & non-hired candidates, coordinate files for background investigators.  Run Access queries & reports.  Coordinate opening & closing files, storage of files-including boxing, transporting and retrieval. Code files with established procedures.
  • Knowledge of multiple databases needed to prepare, complete, and respond to requests:  RMS/Phoenix, Jail Logs, MCSO Staff Management, CCAP, Ceridian, and Access.
  • Update & maintain files, update & ensure accuracy of multiple databases, back-up electronic files, reply to general information requests, reports & documentation.  Update cases according to established management procedures timely, accurately and back-up as appropriate.
  • Coordinate random drug testing with Central Human Resources to complete drug testing for the Sheriff's Office on a quarterly basis.
  • Gather formal paperwork needed by Corporation Counsel for PRB hearings.   Also assist in answering  questions regarding documents as well as agency processes and procedures.
  • Receive and relay messages, make follow up phone calls, screen complaints, respond to varied and routine requests, making copies, ordering transcripts, running queries, pulling old files, copying CDs/DVDs and assisting with research.
  • Update and modify spreadsheets and Access databases for Use of Force, squad accidents and pursuits.   Also cross reference files for Notice of Claims and/or Lawsuits.
  • Other duties as assigned.

 

Required Education, License/Certification and Experience

  • Current resident of the state of Wisconsin.
  • High School diploma/GED equivalent required.
  • Intermediate knowledge of all related computer and software applications such as word processing,  spreadsheets and database.
  • Intermediate knowledge of RMS/Staff Management and Jail Log.
  • At least three (3) year experience working in a clerical, data entry, legal assistant and/or administrative role.

 

Preferred Experience:

  • Post secondary education in Business, I/T, or Criminal Justice  preferred.

 

Skills and Abilities:

  • Must be detail oriented, have strong communication skills, both verbal and written, and good organizational skills. Explain and gather information, answer queries, or aid internal and/or external contacts.
  • Ability to speak effectively before both internal and/or external groups.
  • Ability to maintain sensitive and confidential information.
  • Ability to understand and follow instructions.
  • Ability to interpret and adapt to established practices and procedures using independent judgment to meet situations to which applications are not clearly defined.
  • Ability to use hand tools and office instruments such as computer, copy machine and faxing machine.
  • Ability to lift, carry, push, and pull up to 20 lbs.
