Position Summary:

This role serves as the critical administrative support for the President and Principal of West Catholic Preparatory High School. The successful candidate will routinely and effectively communicate and interface with all levels of the organization from staff to executive leadership working within a Catholic environment. The ideal candidate will be dynamic and energetic with a demonstrated ability to work with little oversight/direction while handling and maintaining confidential information and exercising discretion/discernment in handling related office and school matters at all times. This role requires professionalism, organization, and effective communication.

Duties and Responsibilities:

  • Prepare and compose internal and external correspondence with appropriate follow-up and prepared responsiveness.
  • Organize and maintain records while exercising the utmost confidentiality in

handling.

  • Participate in meetings ensuring that all required information is completed,
  • delivered in advance and available for the appropriate parties.
  • Communicate with various internal departments to coordinate projects and/or

activities and work closely with external parties in administrative matters.

  • Anticipate and execute various duties as required to effectively support the team.
  • Work with the President and Chair of the Board of Directors to manage appropriate materials and communicate them in a timely manner
  • Perform general office duties, including answering multi-line phones, routing telephone calls or messages to appropriate staff, take messages, transfer calls to appropriate individuals, handle their inquiries, and direct them to the appropriate persons according to their needs.
  • Schedule meetings for the President and Principal
  • Maintain a good working relationship with Administration, Faculty, and Staff as well as the students and families of West Catholic Preparatory High School
  • Manage special projects, studies and surveys, and complete forms and

correspondence in accordance with high school procedures.

  • Operate office equipment such as fax machines, copiers, phone systems, and use computers for spreadsheets, word processing, database management and other applications.
  • Responsible for being knowledgeable and implementing the mission of West Catholic Preparatory High School
  • Other duties as assigned.

 

Qualifications: (Education/Training and Experience Required)

  • High School Diploma/GED is required, bachelor’s degree or related field preferred.
  • Previous experience in customer service or as an administrative assistant (6 months).
  • Must be flexible and able to handle constant interruptions and be open to helping

other offices as needed.

  • Experience with PowerSchool, Schoology, School Messenger, Constant Contact,

and other school centric programs preferred.

Skills:

  • Excellent written and oral communication skills.
  • Strong organizational skills, work efficiently, juggle tasks simultaneously, meet

deadlines, and achieve goals.

  • Strong motivation skills.
  • Ability to work productively and positively with staff, students, parents, alumni, and community.
  • Willing to work school events in the evening and weekends when necessary.
  • Must be attentive to details and have the ability to manage several projects at once.
  • Ability to work autonomously without extensive oversight or direction and work

independently.

  • Proficient in Microsoft Office Suite and Google Suite.
  • Administrative Assistant to the President and Principal is a 12-month position.

SALARY

This is a 12-month, full-time position. Hourly wage is commensurate with experience.
