POSITION PURPOSE

 

The Accounts Payable Coordinator is an essential finance role responsible for overseeing accounts payable functions, ensuring the timely and accurate processing of payments, and maintaining strong relationships with vendors and staff. This position collaborates closely with the Assistant Controller and CFO to streamline processes and enhance financial operations.

 

ESSENTIAL FUNCTIONS:

  • Coordinates the daily operations of the accounts payable team.
  • Ensure the accurate and timely processing of invoices, credit card transactions, and expense reports.
  • Manage monthly payments for leases, property rentals, utilities, and insurance.
  • Maintain vendor records and manage vendor relations.
  • Monitor and reconcile accounts payable transactions to ensure accuracy and compliance with company policies and procedures.
  • Process refunds in the Customer Relationship Management (CRM) system.
  • Record vendor refunds in the accounting system.
  • Review and process all staff mileage and expense reimbursements.
  • Export ACH batches and resolve any potential issues.
  • Oversee the daily management, administration, customer support, improvement, enforcement, and organizational effectiveness of the Association's P-Card program.
  • Review applications, and manage the opening, monitoring, and closing/deactivation of all P-Cards.
  • Provide customer support to all cardholders/authorized users and escalate issues as appropriate.
  • Maintain an accurate and up-to-date list of cardholders/authorized users.
  • Perform monthly reconciliations of the P-Card statements with the Accounting General Ledger system.
  • Conduct monthly P-Card audits to support controls and detect noncompliance, misuse, or fraud.
  • Ensure cardholders/authorized users understand and comply with the P-Card policy.
  • Assist with policy and program training for all new cardholders/authorized users.
  • Establish metrics to gauge program effectiveness, identify control gaps, and recommend improvements (e.g., policy revisions, technology enhancements).
  • Develop and implement efficient processes and procedures to streamline the accounts payable workflow.
  • Identify opportunities for process improvement and automation.
  • Collaborate with other departments to resolve issues and enhance processes.
  • Assist with the audit process.
  • Collaborate with the purchasing team and other teams in the Association.
  • Performs other job-related duties as assigned by the Assistant Controller.

 

ROLE SPECIFIC REQUIREMENTS:

 

  • Minimum of 3 years of experience in accounts payable or a related accounting role, with at least 1 year in a team lead capacity.
  • Proficiency in Microsoft Office Suite, especially Excel, Word, Outlook, and Teams.
  • Experience with accounting software (NetSuite preferred).
  • Excellent communication and interpersonal skills.
  • Ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • Strong problem-solving and analytical skills.
  • Bachelor’s degree in accounting, finance, or a related field strongly preferred.
  • Experience with accounts payable automation is strongly preferred.
