The HR Coordinator supports the HR Generalist in efficiently completing Human Resources tasks. This role encompasses all aspects of Human Resources, including onboarding, benefit administration, training and development, and policy interpretation. Working under the direction of the Director of People Operations, this cross-functional position ensures the smooth execution of HR functions to support the organization's staffing needs and operational goals.

Essential Duties and Responsibilities:

The essential duties of the HR Coordinator include but are not limited to the following activities:

 

Onboarding and Background Checks:

  • Responsible for the new hire process, including background checks, collection/verification of new hire paperwork/documents, and creating all new hire folders (personnel/benefit/pension) and ECW profiles.
  • Track and conduct basic and extensive background checks on prospective employees, including SEL, SCR, Intellicorp, and Medicaid Sanctions checks, prior to clearing applicants for hire.
  • Schedule fingerprinting appointments for applicants and meet with them prior to the fingerprinting appointment.
  • Process all new hires and terminations in the Justice Center database within 14 days of hire and termination.
  • Timely process all terminations in the Medicaid Sanctions database.
  • Complete monthly Medicaid sanctions reports and secure approval from the HR Director prior to submission.

Benefits Administration:

  • Assist with benefits administration of health & wellness, including enrollment/termination/other election changes.
  • Support HR communications, open enrollment, and annual wellness events.

Recruitment:

  • Assist with posting jobs externally and follow up with HR Generalists to ensure up-to-date postings.
  • Manage, review, and process all Unemployment claims.

Administrative Support:

  • Responsible for handling and distributing incoming mail and packages efficiently and accurately.
  • Manage and create organization photos and building IDs.
  • Employment verification letters for current staff and past employee
  • Maintain department storage of supplies and inventory of materials & gifts.
  • Support the HR Generalist with administrative assistance.
  • Provide backup support to the HR Coordinator when on leave.

Training and Development:

  • Conduct orientation on a rotation schedule.
  • Provide support with yearly compliance training initiative, manage accounts for new and existing staff, including creating new accounts for new hires and removing accounts for terminated employees.
  • Provide support on various Human Resource projects as needed.

Qualifications:

  • Bachelor's degree in Human Resources, Business Administration, or a related field.
  • Minimum of 2-4 years of experience in recruitment and onboarding.
  • Strong knowledge of HR processes and best practices in recruitment.
  • Proficiency in HRIS and applicant tracking systems.
  • Excellent organizational and time management skills.
  • Strong analytical and problem-solving abilities.
  • Exceptional communication and interpersonal skills.
