The Administrative Coordinator - Spidercam will support Spidercam project managers with daily administrative tasks as needed. Tasks include but are not limited to frequent email communication, making travel arrangements, tracking expenses and invoices, and assisting with generating internal reports. Must be able to multi-task and prioritize job responsibilities and be very detail oriented. Will require occasional interaction with clients, vendors, and Spidercam contractors. Must be professional and courteous with outstanding customer service skills. Must be comfortable with frequent email communication and have excellent writing skills. Constant communication with colleagues is required in order to complete tasks and ensure efficient project timelines. Must be willing to work together with the rest of the Spidercam team to complete tasks on a short timeline in a fast-paced environment. Often times there are quick turnarounds for tasks that need to be completed.

This is a part-time position: 20 hours per week (possibility of having to work extra hours during peak season)

What the job is all about:

  • Maintain updated Spidercam contractor database
  • Book travel for Spidercam contractors including flights, hotels, rental cars
  • Input data for job results
  • Assist in preparation of spreadsheets for Spidercam job reporting
  • Assist in preparation of clients’ contractual documents
  • Assist in review of contractor submissions
  • Assist project managers with job scheduling tasks
  • Assist with vendor tracking
  • Assist with invoice tracking and reporting
  • Assist with job expense tracking and reporting
  • Variety of administrative tasks
  • Meetings Note Taker
  • Perform other related duties as required.

  • Proficient in Microsoft office especially Excel and Word templates

  • Must be able to work effectively with both external and internal colleagues
  • Previous work experience in an Administrative Coordinator capacity supporting multiple managers an asset
  • Previous experience in entertainment or broadcasting industry would be a plus
  • Knowledge of project lifecycle / deadlines desirable
  • Ability to handle stressful situations and to keep information confidential.
  • Organized individual who can multi-task and prioritize to meet the needs of the business.
  • An agile person, a fast learner and proactive.
  • Independent worker; happy to take ownership and get things done, working with minimal supervision.
  • Strong team player, able to tackle large, complex projects or personal errands with enthusiasm.
