Position Purpose:

The Human Resources Administrator is responsible for day-to-day administrative functions of the Human Resources department.  The role coordinates employment and policy compliance and provides significant support for talent acquisition and on-boarding activities.  The role provides service to employees and managers as a key point of contact for related to any/all personnel, timekeeping, benefits, and other administrative items.

 

Summary of Responsibilities:

Human Resources administrative functions include, but are not limited to:

  • Data entry into each user system (i.e. Ceridian Dayforce, Training Data Bases, Attendance Tracking, etc.)
  • Filing, sorting, alphabetizing, photocopying, mail distribution, etc.
  • Maintains accuracy of departmental records, policy and procedure manuals, employee personnel records and reference books.
  • Coordinates Paid Time Off approvals and Time Clock Adjustment in the Ceridian Dayforce database. Generates reports on an as needed basis and distributes appropriately. Assists in the processing of payroll and associated verification process.
  • Assists employees with routine questions / matters to facilitate the HR function. Refers employees to the appropriate source as needed. Ensures responses and follow up is timely.
  • Assists Recruiting, as necessary with new hire orientations and interview process and follow-up. Also assist in facilitating the internal recruitment process by coordinating internal job requisitions, scheduling interviews, and awarding job bids
  • Maintains and transmits data for sign on and referral bonuses, updates employee schedules in Dayforce, and monitor and maintain employee orientation and other employee rosters.
  • Correspond with Union Representatives on Union Applications and Employee information
  • Maintains appropriate level of supplies and forms, etc.

 

Key Specific Responsibilities: 

  • Administers and assist in communicating various human resources plans and procedures for all Company employees.
  • Process new hire, status change, and termination paperwork according to process.
  • Prepare and maintain employee files
  • Enter employee information into payroll database and timekeeping database, as well as SKNet and Employee Picture Database, including any/all updates in employment status, position changes, etc.
  • Prepare vacation, personal, and sick day requests to appropriate payroll administrator, as well as verifying allowed/taken information in the system
  • Track all attendance on employee calendars and send out discipline notices to business managers when needed
  • Enter all updated payroll information including direct deposit, class bonus notifications, rate, department and position changes when applicable.
  • Process annual union contract pay increases
  • Order office supplies for HR department as needed
  • Process all employment verifications
  • Order employee relations items (i.e. births, deaths, get well occasions)
  • Manage and organize information for the annual holiday gift cards.
  • Run reports from employee databases as requested
  • Assist in Coordinating all employee events
  • Assist in processing and administering all leave of absence requests, disability paperwork:  medical, personal, disability and FMLA for all union employees
  • Maintain compliance with Federal, State and Local regulations concerning all employment related activities.
  • Monitors unemployment claims by reviewing claims; substantiating documentation; requesting legal counsel review if needed.

Qualifications for Position:

  • 1-2 years Human Resources experience is preferred
  • Associates degree or equivalent work experience required
  • Strong written and oral communication skills
  • Strong organizational skills
  • Strong Time Management and Project Management skills
  • Significant capabilities with MS Office software (Word, Excel, PowerPoint)
