SUMMARY

Operations Specialist is responsible for providing analytical and operational support to the Office Manager, the Senior Credit Officer and the Auditor.  Assists as directed with new account onboarding, clerical/accounting tasks, processing daily fundings, and client correspondence and participates in special departmental projects as required and performs a variety of routine tasks.  This position requires a detail oriented, self-disciplined individual with good problem solving skills.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Assist the Senior Credit Officer by setting up the legal files for new clients.
  2. Perform lien searches, credit checks, research and analyze public financial reports and other web-based media to produce credit evaluation of clients and client-debtors.
  3. Enter client data into the accounting system.
  4. Assist the Office Manager with the review of incoming requests for funding.  Validate client-provided proof of performance and the accuracy of invoice data.
  5. Accurately apply incoming invoice payments to the correct invoice.
  6. Assist the Accountant with nightly reports in Blackline system.
  7. Uphold the Stellar values and demonstrate an understanding of the values and the need for the application of the values in all of our daily actions.

SECONDARY DUTIES

The position performs duties specific to the position and other functions as assigned by management.

SUPERVISORY RESPONSIBILITY

The position is not responsible for the supervision of any employees.

ENVIRONMENT AND PHYSICAL ACTIVITY

The incumbent is in a non-confined office setting in which they are free to move about at will.  In the course of performing the duties and responsibilities of this position spends time writing, speaking, listening, lifting (up to 25 pounds), sitting, typing on a computer keyboard, and standing, kneeling and reaching.

The incumbent for this position may operate any of all of the following: telephone, copy and fax machine, adding machine, computer and related printers.

MINIMUM REQUIREMENTS

These specifications are guidelines based on the minimum experience required to perform the essential functions of the job.  Individual abilities may result in some deviation from these guidelines:

 

  • Bachelor’s degree preferred or at least 5 years of related experience or the equivalent combination of education and experience.  Work related experience must consist of accounts receivable and accounts payable entry and reconciliation.  Educational experience, through formal school or financial industry related curriculum, is required to be applicable to the factoring industry.
  • Basic knowledge of record keeping systems and general accounting.
  • Ability to read, analyze and interpret large amount of general business data.
  • Able to work with minimal supervision while performing duties.
  • Excellent communications skills both written and verbal.
  • Proficient in Microsoft Office software
  • Strong problem solving, organizational, and research skills
  • Able to maintain client confidentiality and remain highly professional.
