Job Summary:

The Parts Back Counter Person assists all Service Technicians, Service Advisors, and customers in selecting required parts in a friendly, professional, and efficient manner. The Parts Back Counter will oversee the replacement parts inventory for the company's automobiles, maintain orderly storage areas and accurate records, and purchase required parts and assemblies. Monitors all special-order parts and returns to avoid obsolescence. Stays on top of all current recalls and technical service bulletins, as well as fast moving maintenance parts to make sure our off-the-shelf fill rate is at the highest level. The Parts Back Counter person will oversee the replacement parts inventory for the company's automobiles, maintain orderly storage areas and accurate records, and purchase required parts and assemblies.

Essential Functions: 

  • Answer customer phone calls, provide price quotes, and look up parts to fill Service and Wholesale customer requests.
  • Work closely with service advisors and technicians to get the right part for the customer.
  • Work closely with the parts manager to ensure all fast-moving and maintenance parts are in stock.
  • Monitors all current and upcoming recalls and TSBs (Technical Service Bulletins) to fill all customers’ needs, especially new units that are on hold pending recall completion.
  • Follow up on SOR’s (Special Order Parts) to ensure parts do not exceed the 30-day return limit by communicating with our appointment specialist and service advisors.
  • Receive orders and estimates by email, fax, or internal requests, ensure the parts ordered are correct, and fill orders per customer request. Inform customers of companion part requirements and specials and ensure that the customer is exposed to all OEM (Original Equipment Manufacturer) options.  
  • Fill orders from stock or locate out-of-stock parts from outside sources and submit special orders.   
  • Place orders per customer requests, inform customers of companion part requirements and specials and ensure that the customer is exposed to all OEM (original equipment manufacturer) options.  
  • Fill orders from stock and notify customers of out-of-stock parts that need immediate attention. Locate out-of-stock parts from outside sources and submit special orders. 
  • Notify the customer when special ordered parts have arrived and when they will be delivered.  
  • Dispatch our parts drivers and work closely with our warehouse coordinator to ensure all parts are picked correctly and delivered to our customers in a timely manner.
  • Communicate with the parts managers on all shortages, damage exchanges, and returns to avoid obsolescence.
  • Collect from wholesale customers past due accounts by working closely with the parts manager and monitoring the AR schedule on a weekly basis.
  • Monitor wholesale customers’ performance, sales, and returns to make the necessary discount adjustments.
  • Ensure all returns and damages are handled correctly by following up with the parts manager and warehouse coordinators.

Follow up on back-ordered parts, verify will-call and back-order parts and returns to vendors, or stock items that are not picked up or required. Assure all purchases for parts are billed accordingly, and paperwork is complete and reconciled.Issue credit for returned parts or ensure that parts are taken off of repair orders when turned in. Ensure that the original invoice, or its number, is available so that purchase and pricing can be verified. Keep orderly records of all parts orders, invoices, estimates, and special order parts, and keep desk and counter areas clean and uncluttered.  Provide excellent customer service by listening to customer inquiries and requests, also try to "up-sell" or provide "in conjunction with parts" to customers or technicians when appropriate.  Work well with others and maintain composure in a fast-paced environment. Keep current on new products and product updates.

Qualifications: 

Minimum Qualifications:

Two years of experience in an automotive or truck parts warehouse, repair center, dealership, or similar facility.High school diploma or equivalent.Ability to lift up 15 pounds.

  • Ability to perform all essential functions of the job description.

Preferred Qualifications:

  • Knowledge of CDK/Dayforce.
  • Proficient with inventory systems.
  •  
  • Excellent verbal and written communication skills, coupled with strong organizational abilities.
  • Advanced understanding of automotive parts and mechanical systems.
  • Basic mathematical skills to develop and maintain invoices and inventories.
  • Proficient with Microsoft Office Suite or related software programs.

 

Physical Demands:

  • Prolonged periods sitting at a desk and working on a computer.
  • Regularly stands, walks, sits; uses hands; reaches with hands and arms; talks and hears. Occasionally climbs or balances; stoops, kneels, crouches, or crawls; lifts up to 15 pounds.
