Body Shop Office Staff - Kearny Mesa Ford/Kia

Job Summary:

The Body Shop Office Staff is responsible for delivering exceptional customer service to clients seeking repairs and services. This role involves managing customer inquiries, coordinating appointments, and ensuring a positive experience throughout the repair process.

Essential Functions:

  • Greet customers in person and via phone, providing a friendly and professional atmosphere.
  • Schedule and manage appointments for vehicle repairs, ensuring efficient use of time and resources.
  • Provide customers with accurate estimates for repair costs and timelines, explaining the repair process and any necessary services.
  • Maintain regular communication with customers regarding the status of their vehicles, providing updates on progress and addressing any concerns.
  • Address customer inquiries and resolve issues promptly, ensuring a high level of customer satisfaction.
  • Maintain accurate records of customer interactions, appointments, and service history in the dealership management system.
  • Work closely with body shop technicians and management to facilitate smooth operations and timely service delivery.
  • Gather customer feedback and use it to improve service processes and enhance the overall customer experience.
  • Maintain satisfactory attendance.
  • Performs other related duties as assigned.

Qualifications:

Minimum Qualifications:

  • Minimum one (1) year of experience in customer service.
  • High school diploma or equivalent.
  • Ability to lift up to 15 pounds.
  • Valid Driver’s license and safe driving record; required to have California within 30 days.
  • Ability to perform all essential functions of the job description.

  • Proficient in using computer systems and dealership management software.
  • Ability to multitask and work effectively in a fast-paced environment.

  • Ability to work collaboratively with various departments to achieve dealership goals.

Physical Demands: 

  • Physical ability to stand, walk, and work in various positions (e.g., bending, kneeling) for extended periods.

Manual dexterity to handle tools and small parts.Ability to work in a fast-paced environment and meet deadlines.

  • Ability to frequently lift 30 pounds and occasionally lift up to 50 pounds.

Must be able to work in tight spaces.

  • Frequently bend, stretch, kneel, and squat to perform repairs and inspections.

Environment/Noise: 

  • Prolonged periods sitting at a desk and working on a computer.

Regularly stands, walks, sits; uses hands; reaches with hands and arms; talks and hears. Occasionally climbs or balances; stoops, kneels, crouches, or crawls; lifts up to 15 pounds.
