The Manager of Clinic Administration is an experienced people manager and performs all duties necessary to ensure the general administrative functions and activities of the clinic run efficiently and effectively. The Manager of Clinic Administration excels at customer service and possesses a strong understanding of medical office processes, including managing patient accounts, patient scheduling, and insurance benefits and authorizations.
 

Duties & Responsibilities:     

 

  • Oversee all aspects of administrative support, including but not limited to patient registration, insurance authorization and billing, patient scheduling, and payment collection
  • Act as key contact for clinic staff on all administrative matters
  • Manage and respond to patient questions and concerns
  • Maintain the accuracy and integrity of the patient database, patient accounts, and other records
  • Oversee the use of front office systems and technology, ensuring all staff are proficient in their use
  • Ensure compliance to company policy and regulations
  • Create and administer timely, accurate, and efficient workflow processes for all front office tasks
  • Use metric and clinic-based data to support goals and quarterly projections
  • Act as point person for collaboration between clinic administrative staff and back office/headquarters teams
  • Lead and direct all administrative staff work  
  • Schedule 15 or more providers and all administrative staff
  • Collaborate with Clinic Director to schedule clinic support staff
  • Review and approve payroll activities for clinic support and administrative staff
  •  Participate in the recruitment process, including interviewing, selecting, and onboarding new front office staff
  •  Develop and implement comprehensive training programs for new hires and ongoing front office staff development
  •  Administer performance appraisals and discipline in coordination with clinic director and human resources

Minimum Qualifications:  

  • Associate’s degree or equivalent experience
  • Proven experience (5 years) working in medical offices
  • Proven experience (1 year) leading large teams
  • Strong understanding of all medical office processes and best practices
