About this opportunity:

POSITION SUMMARY:

Performs a variety of routine and complex clerical accounting functions including: financial record keeping and reporting; and processing bills, invoices, purchase orders, requisitions, checks, check requests, payments and/or deposits.

ESSENTIAL FUNCTIONS:

Accounts Receivable & Payable:

Receives, records, and deposits cash receipts; prepares daily tabulations and reports of cash receipts; distributes receipts to proper funds; makes daily entries into cash receipts ledger to Great Plains. Enter all “white mail” into Response Program and prepare deposits for Corps, Thrift store, Child Care and HIP accounts.

Prepare and process one or more of the following financial documents: invoices, billings, purchase orders, requisitions, checks, check requests, tax reports, payments and/or deposits; reviews and verifies the same for accuracy and completeness.

Ensure appropriate staff remain aware of account balances; opens new account files and closes terminated account files in accordance with established procedures.

Prepare correspondence regarding the status of accounts and responds to account inquiries; ensures all correspondence is prepared in a professional and tactful manner.

Payroll:

Reviews and tallies personnel time cards/records and enters data into Ceridian payroll system; and assists in preparing payroll records.

Administration:

Applies accurate code numbers to financial documents and batches totals; keypunches information into the computer to generate checks, invoices, reports, spreadsheets, and financial documents.

Assists in preparing and reviewing various financial and statistical reports and spreadsheets for accuracy and completeness; may prepare schedule of errors. In collaboration with the Corps Officer and DHQ finance, assist in preparing budgets for Corps and Thrift store accounts.

Research and reconcile accounts to ensure financial documents, correspondence, invoices, payments, spreadsheets, etc. are accurate; resolves accounting problems with outside personal contacts.

Perform data entry of financial information to prepare spreadsheet and general ledger programs for bookkeeping and reporting purposes.

Maintain accurate and complete files of accounts, statistics, billings, invoices, and donor/client files; develops and maintains departmental files; prepares spreadsheets for recording expenditures and approvals.

Compile data and generate various departmental/program reports and inventory records; and monitor incoming reports to ensure accuracy and completeness before processing.

Compile data for United Way and assist Corps officer with budgets for yearly requests; and process information for UW reporting.

May process capitalization and deletions with regard to all property owned by The Salvation Army; checks, corrects, and transmits accurate and complete spreadsheets regarding the same.

Other Responsibilities:

Receives and processes in-going and out-going mail in an accurate and timely manner.

Provides clerical support for special projects or to relieve other clerical positions as needed.

Performs other duties assigned.

Materials and Equipment:

Knowledge, Skills and Abilities:

Knowledge of the practices and procedures of basic accounting and/or bookkeeping.

Knowledge of general office practices and procedures.

Ability to organize and maintain files of accounting records.

Ability to apply attention to detail and to perform assigned work at a level of proficiency that will limit the impact of errors.

Ability to process financial documents in compliance with established policies and procedures.

Ability to meet attendance requirements.

Ability to read, write, and communicate the English language.

Ability to type and keypunch information into a computer.

Ability to perform mathematical calculations.

Ability to sort and file documents alphabetically and numerically.

Ability to operate various general office equipment including a telephone, typewriter, computer, and adding machine.

Ability to concentrate and pay close attention to detail with constant breaks in concentration associated with answering phones or speaking in person to clients requiring assistance.

MINIMUM QUALIFICATIONS REQUIRED:

Education and Experience:

High school diploma or G.E.D.;

And

Two years progressively responsible experience working in a general office with accounting and bookkeeping responsibilities.

Or

Any equivalent combination of training and experience which provides the required knowledge, skills, and abilities.

Licenses and Certifications:

 Requires Valid State Driver's License

Physical Requirements:

Limited amount of physical effort required associated with walking, standing, lifting, and carrying light objects (less than 25 lbs.). Duties are usually performed seated. Sitting may be relieved by brief or occasional periods of standing or walking.

Working Conditions:

Work may be performed in a normal office environment within a climate-controlled structure. There are little, or no physical discomforts associated with changes in weather or discomforts associated with noise, dust, and dirt.
