Location: The Salvation Army Boys and Girls Club, 2808 SE 44th Street, Oklahoma City

Position Type:     Non-exempt (hourly), Full-Time (up to 40 hours per week)

About this opportunity:

The Membership Secretary coordinates administrative and operational systems and procedures to support Club achievement of program and fund-raising goals. Serves as a liaison with vendors and suppliers to maintain equipment and supplies. Maintains office calendar of events and deadlines and monitors workflow. Trains staff in office procedures and equipment use. Maintains financial records, prepares deposits, and other financial related matters as trained and instructed.

Administrative Responsibility (90%)

 

Assists in the processing and collecting of membership applications and fees for membership and special activities, such as football and summer camp.

 

Collects permission slips and other program related materials that are necessary to enroll new members.

 

Files membership applications and related materials.  Electronic filing is preferred.

 

Answers the telephone; takes messages; walks through buildings to locate persons for the phone calls.

 

Ensures that staff and others are trained in use of Club equipment and that they assist in creating a clean, healthy, safe, positive environment. (Job Performance)

 

Extends a cordial welcome to all visitors during business hours. Able to communicate with parents/guardians as needed or instructed. 

 

Prepares permanent membership cards/numbers and assists in keeping membership files up to date.

 

Prepares cash disbursement and deposit; prepares financial report weekly; ensures the accuracy and completeness of the same. (Quality)

 

Types correspondence as requested and prepares bulletins and flyers related to important items of information and special events. (Dependability)

 

Gives tours of the Club facilities to new members or visitors in absence of the Club Director; introduces people to the programs and staff.

 

Maintains routine and statistical records and reports and keeps related files. Includes Club related grants such as Alliance and reports on The Salvation Army statistics.

 

Retrieves, opens, stamps, and routes all incoming mail and correspondence.

 

Prepares mailing to Club members or communicates electronically. 

 

Ensures the safety and well-being of each program participant; administers first aid when needed.

 

Purchases supplies and equipment, in compliance with standards and procedures. (Job Performance)

 

Other Responsibilities (10%)

 

Ensure a clean, healthy, safe, positive environment is created and maintained producing a sense of physical and emotional safety.

 

Ensure an attractive, welcoming, and fun environment is created and maintained.

 

Ensure that facilities, equipment, and supplies are maintained.

 

Attends meetings, conferences, and seminars as requested.

 

Provides assistance as needed and directed with study classes, special events, and daily programming.

 

Ability to supervise children on an as needed basis. 

 

May be asked to drive van on field trips and/or school pick-ups.

 

Assumes other responsibilities as assigned.

 

Knowledge, Skills, and Abilities

 

Ability to follow both verbal and written instructions.

 

Demonstrated knowledge of processes related to office management

 

Knowledge of membership tracking software and ability to input member data, fees, sort, and filter.

 

Ability to maintain an efficient and organized filing system to ensure that items can be retrieved in a timely manner.

 

Ability to use MS WORD, EXCEL.

 

Ability to create shared forms MS FORMS or GOOGLE FORMS.

 

Ability to use basic collaboration tools such as SharePoint.

 

Ability to meet attendance requirements.

 

Ability to read, write, and communicate the English language.

 

Ability to type and keypunch information into a computer.

 

Ability to answer the telephone in a courteous and tactful manner.

 

Ability to sort and file items alphabetically and numerically.

MINIMUM QUALIFICATIONS REQUIRED:

 

Education and Experience

High school diploma required or GED Bachelor’s Degree from an accredited institution of

higher education preferred

OR combination of education, training, and experience equivalent to two years in office administration role.

 

Certifications/Licenses

Valid State Driver’s License (CDL preferred)

First Aid and C.P.R. Certification (or ability to obtain)

BGCA Learning Coach Certification (or ability to obtain)

 

Physical Requirements

Duties are usually performed seated.  Sitting may be relieved by brief or occasional periods of standing or walking.

 

Limited amount of physical effort required associated with walking, standing, lifting, and carrying light objects (less than 25 lbs.) 5-10% of work time.

 

Working Conditions

Work is performed in a Boys & Girls Club environment where there are little or no physical discomforts associated with changes in weather or discomforts associated with noise, dust, dirt, and the like.
