What is the opportunity?

The Inventory and Mailroom Coordinator plays an integral role in the operations of the Water Mission headquarters. He/she is responsible for ensuring processes and procedures are developed and implemented that drive toward excellent customer service and efficient mailroom operations. The Inventory and Mailroom Coordinator ensures that office supplies and materials are always adequately stocked and assists with inventory and mailroom management.  Additionally, the Inventory and Mailroom Coordinator will provide varied administrative support as requested. This part-time position reports to the Manager, Partnership Operations, and will be located at the Water Mission headquarters in Charleston, SC.

 

A successful Inventory and Mailroom Coordinator will: 

General:

  • Maintain a strong Christian witness and model servant leadership to colleagues, partners, the communities we serve, and the public.
  • Engage and participate in prayer before and after team meetings.
  • Lead and participate in biblically based staff devotions.
  • Maintain a high-level knowledge of Water Mission’s organizational objectives, programmatic strategies, projects, and activities. Stay informed of local, regional, national, and global news and issues to support the organization effectively.
  • Meet or exceed all ministry quality standards in professionalism, timeliness, and accuracy while setting the precedent for volunteers and other staff.

Mailroom Management:

  • Ensure inventory records for all P&C materials such as print collateral, apparel, and event supplies are updated and accurate using the Smartsheet tracking system.
  • Coordinate all shipments needed for P&C team members as requested on the Inventory Management Smartsheet.
  • Execute requisitions in the ERP system for items needing to be procured.
  • Track rental items that need to be returned and assist in shipping and restocking items.
  • Monitor and maintain office supply inventory in a way that ensures an adequate supply of items necessary for efficient office operations.
  • Ensure that the postage meter is loaded with funds and that necessary postage supplies are stocked.
  • Receive and distribute incoming small packages to appropriate recipients.
  • Place all outgoing mail in the appropriate location for shipping prior to pick-up.
  • Lead and assist volunteers in mailroom management to ensure shipments are completed correctly in a timely manner.
  • Provide input and assist in the creation of SOPs for inventory and mail operations in the P&C Department. Keep SOPs updated as needed.
  • Represent and support the ministry at special events as needed.

What is required?

  • 2+ years of experience in administrative support.
  • Proficiency in Microsoft Office software, especially Word, Excel, PowerPoint, and Outlook.
  • Strong internal and external customer service focus and follow-through.
  • Excellent oral and written communication skills.
  • Strong attention to detail and exceptional organizational skills.
  • BA or BS degree preferred.
  • Typing efficiency.
  • Experience in database management preferred.
  • Ability to remain calm and firm in a situation with potential conflict.
  • Ability to work in a fast-paced environment with shifting priorities.
  • Legal authorization to work in the United States without sponsorship.
  • Commitment to the values and mission of the organization and ending the global water crisis.
