THE ROLE: The Program Assistant performs administrative functions and service coordination for the Santa for Seniors program.

 

ESSENTIAL FUNCTIONS: The following list identifies duties of the position. Job responsibilities will be prioritized in consultation with the supervisor. 

• Works with Program Director to develop and maintain the development materials and helps with the communication tasks including flyers, manual, PowerPoint, media materials.
• Works with Program Director and Coordinator to maintain and update social and digital/print media in collaboration with GPS Communication Specialist.
• Creates and manages other communications such as narrative and program specific newsletters for inter-agency and outside community use.
• Assists with Santa for Seniors project filling inventory, working with program and community partners and assuring gifts are ready and out to clients in a timely manner.
• May coordinate program activities with assigned staff and volunteers including assemblies as needed.
• May help with delivering inventory and/or assembled Santa for Seniors items to partners and clients when needed.
• Helps loading and unloading inventory and gifts in the warehouse, company vehicle, and receiving partnerships.
• May assist Program Coordinator and Program Director with maintaining and updating database, assembly and delivery activity.
• Maintains the company vehicle so that it remains safe and reliable.
• Assists Program Coordinator and Program Director with information for performance quality improvement, audits, grant narratives, budget development & monitoring, and other reports and stats as needed.
• Maintains quality and compliance standards per policy and procedures and contracts
• Represents the Agency in a professional manner and is a team player.

QUALIFICATIONS: To perform this job successfully an individual must be able to perform each essential duty satisfactorily. ● Must have well-developed professional communication skills, both written and verbal.

● Must be able to multitask and set priorities.

● Ability to successfully work on a team.

● Ability to prioritize tasks.

● Good organizational skills.

● Experience in Microsoft Office and G Suite.

● Experience in Adobe Creative Suite and/or other design software.

● Knowledge of all social and digital media platforms, tools, and techniques.

● Ability to identify and adapt to new social media development.

● Ability to follow directions.

● Requires adherence of HIPAA standards to ensure confidentiality.

● Experience working with seniors, youth, and volunteers is highly preferred.

● Experience in customer service.

 

EDUCATION and/or EXPERIENCE:

● Associate degree or equivalent of education/experience required.

● Experience working with seniors and volunteers.

 

CERTIFICATES, LICENSES, REGISTRATIONS: This position requires travel and operation of

company vehicles. Must have a current Washington State driver’s license, auto insurance with

adequate liability, and a good driving record. Must pass a criminal background check.
