Job Title:            Senior Director of Facilities Operations

SUMMARY

The Senior Director of Facilities Operations will provide strong leadership to ensure The People Concern facilities and operations meet industry, agency, and funder standards. This position organizes, administers, and leads a comprehensive program of maintenance and custodial services in an effective manner, ensuring that agency facilities, grounds, equipment, and furnishings are well maintained, so that staff, clients, funders, and visitors experience a clean, safe, attractive, and healthy environment.

In addition, the Senior Director of Facilities Operations will be responsible for the oversight of the Procurement Department

 

ESSENTIAL DUTIES & RESPONSIBILITIES

  1. Supervise, coordinate, and assist in the timely completion of all major repairs and facility rehabilitation, including interior and exterior facility grounds, buildings, and equipment
  2. Supervise and provides leadership to the Procurement staff to ensure excellent customer service and compliance of the agency procurement policy and procedures
  3. Ensure that staff are adequately trained, equipped, and motivated so that all building maintenance can be accomplished in a safe, timely, and cost-effective manner
  4. Provide an efficient work order system for repairs of facilities and equipment that ensures that all maintenance and repairs are completed within industry standards (24 hours for emergency request and 10 days for a routine request)
  5. Develop and implement a schedule of regular evaluation and preventative maintenance/repair tasks of the facilities ensuring the safety of the buildings from fire, flood, and other hazards
  6. Review operation and condition of electrical, air conditioning, plumbing, and other essential systems and equipment on a continuous basis to minimize unplanned downtime, solve problems in a timely manner, and identify areas in need of improvement
  7. Maintain accurate records of the condition of systems, equipment in all buildings, and inspections; prepare monthly reports on facilities conditions and inspections
  8. Provide individual and team supervision, support, and performance evaluations for all assigned staff
  9. Provide regular project status reports to Executive Leader
  10. Ensure compliance with applicable building and safety codes, hazardous waste disposal, OSHA, hazardous materials, etc.
  11. Communicate regularly with all maintenance staff, both individually, and as a group, to ensure effective two- way communication concerning maintenance issues
  12. Participate in the development of policies and procedures that affect the use and procurement of supplies, equipment, and maintenance
  13. In coordination with the Executive Leader, work with outside contractors as needed, provide budgetary oversight of program administration, and ensure program revenue and expenses are within adopted annual budget
  14. Develop a custodial services plan for each building that outlines the tasks of and expectations for custodial employees, indicating a detailed daily and periodic schedule for cleaning and basic facility repairs 
  15. Ensure adherence to all partner agency and other funding source contract and performance standards, along with all relevant laws, regulations, and agency accounting policies and procedures.

 

REQUIREMENTS

  1. Bachelors degree, or an equivalent combination of education and experience
  1. Minimum of five years’ experience in property and facilities management and supervision
  2. Strong knowledge of Excel, Word, Outlook
  3. Must be flexible, highly responsible and motivated with a proven track record of managing multiple departments and staff members
  4. Detail oriented with excellent time management, organizational, written, verbal, interpersonal, and computer skills
  5. Current, valid California Driver’s License with an acceptable driving record and reliable car
  6. Demonstrated ability to handle multiple tasks simultaneously and to work independently and creatively
  7. Effective interpersonal communication skills and the ability to work effectively with a wide range of constituencies in a diverse community
  8. Extensive knowledge of workplace safety and illness and injury prevention practices
  9. Bi-lingual English and Spanish preferred

 

WORK ENVIRONMENT

  1. Primarily office environment; regularly required to sit, stand, bend; occasionally lift or carry up to 35 lbs.
  2. May necessitate working in busy and loud environments
  3. May be exposed to elements like cold, heat, dust, noise and odor
  4. May need to bend, stoop, twist , and sit throughout the day
  5. On occasion walk or drive to different local sites
