Summary:

We are looking for a detail-oriented and organized Production Operations Coordinator who will assist in managing travel and accommodation arrangements for crew members in approximately 400 sports and entertainment productions annually. Reporting to the Production Crew Manager, this role focuses on logistical support, particularly around travel and lodging, while also assisting with other crew-related administrative tasks.

 

The ideal candidate will have experience coordinating logistics for large teams and a strong ability to manage multiple tasks simultaneously. The role requires excellent communication and organizational skills to ensure seamless travel arrangements and support for the production team.

 

Responsibilities:

  • Travel & Accommodation Management:
    • Coordinate and book travel and lodging for production crew, including freelance and internal members, using internal or external travel services and tools.
    • Provide detailed travel itineraries to crew members and ensure all logistical details (flights, hotels, transport, etc.) are accurately communicated.
    • Manage any last-minute changes to travel plans and resolve any issues related to transportation or accommodations.
    • Maintain accurate records of all travel and accommodation bookings, ensuring budget compliance and cost efficiency.
    • Act as the first point of contact for crew regarding travel-related issues and coordinate with relevant departments to resolve them.
  • Production Support:
    • Provide administrative support to the Production Crew Manager, including maintaining crew rosters, managing crew communications, and assisting with training documentation.
    • Collaborate with the Production Crew Manager on ongoing season management tasks, such as scheduling adjustments and crew conflict resolution.
  • Freelancer Coordination:
    • Liaise with freelancers regarding their travel and accommodation arrangements and ensure they receive all necessary details in advance of their assignments.
    • Help maintain long-term relationships with freelancers by providing clear and prompt support for their logistical needs.
  • Administrative Duties:
    • Support the Production Crew Manager with data entry, reporting, and other administrative tasks related to crew management.
    • Help track and reconcile crew expenses in coordination with the finance and payroll teams.


Requirements:

  • Bachelor's degree in a relevant field or equivalent work experience.
  • 2+ years of experience in travel coordination, logistics, or production operations.
  • Experience with travel booking tools and scheduling software.
  • Strong organizational skills and attention to detail, with the ability to handle multiple tasks simultaneously.
  • Excellent written and verbal communication skills.
  • Ability to work in a fast-paced environment and manage time effectively.
  • Proficiency in Microsoft Office and Google Workspace; familiarity with production scheduling tools is a plus.

 

This role is critical in ensuring the smooth flow of logistics, particularly for travel and accommodation, and will play a key part in supporting the Production Crew Manager in the execution of high-quality sports and entertainment productions.

 

The annualized base salary range for this position in California is $60,000 to $80,000. The base salary offered will factor in internal equity and may also vary depending on the candidate's geographic region, job-related knowledge, skills, and relevant experience, among other factors.
