SUMMARY 

 

Responsible for providing administrative support to the Legal Department.  Accountable for administering a broad range of legal operations, including contracts administration and equity administration. Responsible for assisting with the review and drafting of various employment- and equity-related agreements. 

 

 

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

Follows and helps to administer complex employment and equity-related agreement processes and procedures to ensure appropriate steps for preparation, review, and processing are handled accurately and timely. 

Assists other department staff with reviewing, populating, and/or developing employee-tailored agreements that include the appropriate compensation and other employee-specific contract terms. 

Participates on equity team and contributes to significant equity transactions, including significant company equity events and projects. 

Responds to inquiries regarding employment- and equity-related agreements and transactions. 

Assists with creating and administering processes and workflows to improve efficiency of legal and contracts operations. 

Assists with contract administration process using company's intranet and contract management system to ensure all contract data is accurately entered and saved. 

Periodically monitors the contracts team’s inbox to manage contract requests and respond to business inquiries. 

Periodically monitors the equity team’s inbox to manage equity inquiries and equity agreement distributions. 

Supports periodic audits of contracts and corporate data to ensure accurate recordkeeping. 

Assists with equity administration, including preparing equity offerings and implementing equity management system. 

Maintains and administers the company’s contract templates, and assists with form completion. 

Interacts with both external and internal stakeholders to support legal and contracts projects. 

Facilitates execution of approved and finalized contracts, including timely distribution to all appropriate business team stakeholders. 

Other duties as assigned.

QUALIFICATIONS 

EDUCATION / EXPERIENCE

Bachelor's Degree, in general business, insurance, legal or financial disciplines equivalent combination of education and experience 

Four (4) or more years, of work experience in the legal field 

Prior paralegal training 

Experience in contract management system, 

 

SKILLS

Strong working knowledge of office technology (including proficiency in Microsoft Office products) – experience in contract management system is a plus 

Exceptional organizational skills with great attention to detail 

Advanced analytical skills with ability to exercise independent judgment to identify issues and problem solve with minimal supervision 

Strong self-motivator and take initiative in identifying opportunities and making recommendations for process improvement 

Excellent verbal and written communication skills 

Great interpersonal and leadership skills with ability to interface with executives, both internal and external 

Exceptional time management and prioritization skills with ability to multi-task on multiple high priority projects and maintain sensitive information with extreme care
