SUMMARY:

The Process Server works on computers, entering information for processing of legal request for records, evidence and/or subpoenas. In many cases, this work may be repetitive, but accuracy is essential as this data is often essential for the day-to-day operations of a company. Must be able to perform comfortably in a fast-paced, goal-oriented work environment. Will provide support to managers, expeditors and billing department to ensure accuracy of data and database management. 

 

Essential Functions:

  • Communicate daily with Attorneys and Paralegals to request service of process.
  • Utilize Outlook to continue interaction with clients to continue building rapport.
  • Enter case information and defendant information for process service into MR8 database.
  • Use internet search engines such as NAPPS to find certified process servers within the area of service.
  • Collaborate with process service to perfect service.
  • Email documents to process servers and follow-up, via a call or check status of service.
  • Sort first class mail that comes from process servers who send Proof of Service.
  • Scan documents and upload to MR8.
  • E-file Proof of Service to clients TXcourts.gov, as required.
  • Invoice and mail clients their legal documents via Fed Ex.
  • Issue checks that are requested.
  • Process request from clients to have packets signed, dated and notarized.
  • Utilize 123Notary to locate Notaries within assignment area.
  • Provide notaries with detailed instructions, copy of documents to notarize and Fed Ex label for return of original documents.
  • Review received notarized documents and confirm that all documents have been signed, dated and notarized.
  • Bill and send original documents to client immediately.
  • Safeguards confidentiality medical records and complies with all local, state, and federal laws pertaining to medical records. Assures compliance with all HIPAA regulations concerning use, retrieval, storage, and sharing of medical records.
  • Any other duties as assigned.

 

COMPETENCIES, SKILLS AND ABILITIES

  • Must be a positive team player and be able to communicate with team members.
  • Strong attention to details, efficient and highly organized.
  • Ability to multi-task.
  • Proficient in (Outlook, Word, Adobe Acrobat, Internet Explorer, Windows, MR8 is a plus).
  • Utilize hardware (Fax Machine, Copy Machine and Scanners).
  • Minimum 38 WPM typing proficiency.
  • Flexible schedule and available to work occasional overtime as required.
  • Ability to work with deadlines and work well under pressure.
  • Works well independently and with other department members.
  • Accepts direction well.
  • Excellent attendance and punctuality.
  • Familiarity with subpoenas, written depositions and affidavits a plus.
  • Must have ability to communicate effectively, both verbally and in writing.
  • Ability to think quickly and logically to ensure expedient response to customer inquiries.
  • Enter information into multiple screens while listening to information from customers.

 

EDUCATION / EXPERIENCE

  • High school diploma or equivalent required.
  • Minimum two-year administrative experience in a data entry position role.
  • Legal terminology preferred.
  • Notary Public preferred.
  • Works collaboratively with all members of management to resolve departmental and organizational challenges expeditiously, economically, professionally and with minimum disruption to the practice.
  • Team player approach.

 

SUPERVISORY RESPONSIBILITIES

This role is not a supervisor position.

 

LANGUAGE SKILLS

Ability to effectively present information and respond to questions from internal and external customers whose first language is English.

While performing the duties of this job, the employee regularly works in an office environment in a clerical environment. This role routinely uses standard office equipment such as computers, phones, photocopiers and filing cabinets.
