What is the Opportunity?

The Administrative Assistant performs supervisory tasks and provides support to the office’s security and cleaning areas. This role is responsible for facilitating all logistical and administrative tasks, such as processing office permits, management, and organization tasks. The position is based in the Iquitos office (Peru) and reports to the Country Director, working full-time.

Specific Job Tasks:

  • Supervise the office cleaning tasks.
  • Organize, assist, and supervise the security area tasks of the office.
  • Perform tasks related to receiving physical and virtual mail, as well as processing and receiving important documents and items, and forwarding them to the relevant departments for handling.
  • Manage and control the office petty cash.
  • Ensure the daily proper functioning of the office facilities.
  • Provide essential office supplies, including purchasing paper, office supplies, desks, bathroom supplies, and other items necessary for the smooth operation of the office.
  • Maintain an accurate inventory of office equipment and other supplies.
  • Plan meetings and write detailed minutes, as well as assist in organizing appointments as needed, supporting the country director.
  • Assist in preparing scheduled periodic reports.
  • Place orders for office materials and ensure that adequate supplies are always in stock.
  • Maintain contact lists of clients, consultants, and beneficiaries related to the Iquitos office tasks.
  • Make flight, hotel, and travel logistics reservations, and assist with hotel reservations and other necessary arrangements when the office has visitors.
  • Provide general support for office visitors.
  • Prepare and reconcile expense reports and assist with basic accounting tasks.
  • Obtain purchase quotes.

  • Participate in or lead internal activities in line with the organization’s mission and core values.
  • Perform other assigned duties.

Job Requirements:

  • Participate in or lead internal activities in alignment with the organization’s mission and core values.
  • Bachelor’s or professional degree in Administration or related fields at a university or technical level.
  • Minimum 1-2 years of experience in administrative and logistical support tasks.
  • Basic knowledge of the MS Office suite (Word, Excel, PowerPoint).
  • Proven organizational skills and ability to work independently and within a team.
  • Knowledge of office management systems and procedures.
  • Ability to assess priorities and manage multiple activities with attention to detail.
  • Ability to multitask.
  • Impeccable level of integrity in responsibly and transparently handling funds.
  • Proficiency in spoken and written English, preferred.
  • Excellent written and verbal communication skills, including the ability to clearly articulate ideas and provide constructive feedback.
  • Commitment to ending the global water crisis.
  • Excellent relationship-building and conflict resolution skills.
  • Ability to work independently and as part of a team.
  • Must demonstrate legal authorization and unrestricted ability to work in Peru without sponsorship.
